Cancellation & Rescheduling Policy

Mat James Photography understands that real estate schedules can change quickly. To provide reliable availability and maintain a consistent level of service, the following policy applies:

Rescheduling

Clients may request to reschedule an appointment with a minimum of 24 hours’ notice whenever possible.

Mat James Photography will make every effort to accommodate schedule changes based on availability.

Late Cancellations & Missed Appointments

Cancellations or appointment changes made with less than 24 hours’ notice may be subject to a cancellation fee.

Missed appointments or situations where the property is unavailable at the scheduled time may result in a fee to cover lost preparation time and scheduling availability.

Weather & Safety Delays

Weather conditions, airspace restrictions, or safety concerns may require adjustments to exterior photography, drone services, or video production.

When necessary, appointments will be rescheduled at the earliest available opportunity.

Property Preparation & Reshoot Policy

Property Readiness

Mat James Photography creates professional imagery based on the condition of the property at the scheduled appointment time.

Clients are responsible for ensuring the property is prepared before arrival, including:

  • Cleaning and decluttering

  • Removing personal items where desired

  • Preparing lighting and window coverings

  • Ensuring rooms and exterior areas are accessible

Mat James Photography does not provide cleaning, staging, furniture moving, or property preparation services unless specifically arranged in advance.

Reshoot Requests

A reshoot may be required when circumstances outside of normal photography conditions affect the ability to complete the service.

Examples may include:

  • Property not being accessible

  • Significant areas unavailable during the scheduled appointment

  • Construction, occupants, or conditions preventing professional photography

  • Major preparation issues affecting the final result

Requests for reshoots due to property preparation, staging changes, renovations, or client preference after delivery may be subject to additional fees.

Mat James Photography will always work with clients to determine the best solution.

Matterport & Virtual Tour Hosting Policy

3D Tour Services

Matterport 3D virtual tours and related digital products are created using professional scanning technology and delivered according to the selected service package.

Hosting & Availability

Matterport tours require active hosting through Matterport’s platform.

If ongoing hosting is included as part of a service package, availability will be maintained according to the applicable hosting terms.

Additional hosting periods, transfers, or extended availability may be subject to additional fees.

Accuracy & Updates

Virtual tours represent the property conditions at the time of capture.

Changes made to the property after scanning, including renovations, staging changes, or alterations, will not be reflected unless a new scan is completed.

Floor Plans

Floor plans generated from Matterport or other measurement technology are intended for marketing and reference purposes.

While measurements are created using professional tools, they should not be considered architectural drawings or official construction documents.

Image & Media Delivery Policy

Final Deliverables

Final edited photography, video, aerial imagery, and digital media will be delivered electronically through the agreed delivery method.

Delivery timelines may vary depending on:

  • Property size

  • Selected services

  • Volume of deliverables

  • Seasonal demand

Editing Requests

Mat James Photography provides professional editing consistent with its visual style.

Minor adjustments may be considered where appropriate. Requests requiring extensive re-editing, alternate styles, or additional production work may incur additional charges.
